What you do every month
Issue an invoice — 2 minutes
Pedro just delivered a logo. He opens the software, clicks “New invoice”, fills in four fields (client, service, amount, date), and clicks issue. The invoice goes automatically to e-fatura. Two minutes, including sending it to the client by email.
Log an expense — 10 seconds
Ana bought an external hard drive. She takes out her phone, photographs the receipt. Done. The file is saved and organised.
What you do every 3 months
VAT return — 2 to 10 minutes
If you invoiced less than €15,000 in the previous year, you are VAT-exempt under Article 53 of the CIVA and do not need to file a return. Zero minutes.
If you exceeded that threshold, the quarterly return is straightforward: the system totals your invoices, calculates the VAT to pay, and you submit. With certified software, the process is nearly automatic.
Social Security declaration — 2 to 5 minutes
In the first year there is an exemption. From the second year onwards, the system calculates your contribution based on your quarterly income. You confirm and submit.
What you do once a year
Annual IRS declaration — 30 minutes
This is the only task that takes a little longer. But it remains simple:
- Log in to the Finance Portal with NIF + password (2 min)
- Your income from invoices is already there — you confirm it (5 min)
- Add any deductions you want to claim — health, education, rent (10 min)
- Review and submit (5 min)

With 5 invoices and 10 expenses per month, that is around 12 minutes of recurring tasks, plus 4 minutes per month averaged from quarterly declarations.
